Level 2 · Complete document

This policy describes personal data processing in SARA (Sistema de Aprendizaje y Retroalimentación Asistida), developed and operated by ICI Laboratories, an independent student-led educational club. The club administers and maintains its own services.

01. Relationship with SARA ID and SARA Account

SARA relies on the central SARA ID identity service for user authentication.

  • When signing in to SARA, you authenticate through your SARA Account (via institutional email or Google federation).
  • SARA ID provides account data such as UUID, name and email, and may include educational profile, memberships and permissions depending on the integration. Email verification status depends on the account flow.
  • Course enrollments, classroom assignments, virtual groups, student/instructor roles, and academic marks are managed and securely isolated within the SARA educational environment.

To understand how your credentials and primary sessions are safeguarded, see the SARA ID Privacy Policy.

02. Information collected in the educational environment

We collect only the data strictly necessary to support learning and teaching workflows:

Academic and curricular records

  • Institutional affiliation: Degree program, academic semester, registered subjects, or courses taught.
  • Activities and submissions: Completed assignments, text notes, conceptual maps, synthesis summaries, and documents produced via the integrated editor (DocMD) or stored in SARA Drive.
  • Assessments and progress: Grades assigned by instructors, responses to formative quizzes, qualitative feedback, and learning milestone metrics.

Multimedia files and learning evidence

  • PDF documents, laboratory schematics, study notes photos, and audio recordings uploaded voluntarily by the student to substantiate academic coursework.

Device hardware permissions (Camera, Microphone, and Files)

On SARA mobile applications, hardware access is strictly bounded:

  • Camera: Requested exclusively when the student chooses to capture a real-time photograph of study notes or physical experiments to attach directly to an assignment.
  • Microphone: Required only if an oral assessment or spoken response is explicitly submitted by the user.
  • Storage / Document Picker: Used strictly on demand when selecting local files to upload to SARA Drive.
  • Privacy guarantee: SARA never activates cameras or audio sensors in the background. No media files are inspected or transmitted without deliberate, conscious user action.

03. Use of Artificial Intelligence & Pedagogical Assistance

SARA incorporates AI-driven pedagogical assistance modules (SARA Studio and conceptual synthesis tools) designed to enrich learning:

How AI operates in SARA

  1. Formative feedback: The assistant evaluates student submissions within the context of specific lesson materials to provide step-by-step explanations, reading suggestions, and conceptual clarity.
  2. Synthesis & knowledge structuring: Assists in generating review outlines and study summaries based strictly on course content provided by instructors.

Processing through AI services

The assistant processes the query and the documents or contextual information supplied to it. Requests may pass through the model providers configured for the service. Processing location, retention and possible use of data to improve or train models depend on the provider used and the service configuration. You can ask the privacy contact which provider processes your queries and which conditions apply.

Avoid including sensitive personal information or identifiable third-party records that are not necessary for the task. AI output may contain errors and should be reviewed before use in educational decisions.

04. Purposes of processing

Information within SARA is used solely for pedagogical and institutional purposes:

  • Supporting interactive communication between faculty and students.
  • Managing assignment delivery, reviewing, grading, and archiving.
  • Maintaining curricular progress tracking and institutional program continuity.
  • Resolving technical issues and providing support to academic users.

ICI Laboratories never sells, leases, or monetizes student data or academic records for commercial advertising.

05. Data retention

Account-linked coursework and files remain in the service while needed for its functions, support and the resolution of requests. The end of a course or academic term does not automatically delete coursework and files from your account.

You can ask about the retention of your data and request cancellation through the privacy contact. The response will explain the scope for records, backups and data held by another application, along with any applicable retention or blocking.

06. Privacy requests and deletion

To request access, rectification, cancellation or opposition, revoke consent, or limit use or disclosure, follow the privacy request procedure. Specify SARA, the email associated with your account and the records concerned. Do not send passwords or authentication codes.

Deleting data in SARA and cancelling the central SARA Account are different requests. We will explain the scope, identity checks, applicable blocking or retention grounds and outcome. Requests are handled through the privacy procedure, which explains the applicable response and implementation periods.

07. Security

The service uses HTTPS for public connections and access controls for account-linked resources. Protecting your account also requires keeping your credentials private and closing sessions you no longer use.

Report suspected unauthorized access to the privacy contact without including credentials.
